Who is IN.Society

IN.Society is our trading name, our business registered name is IN.Society Ltd (company number: 12887403). We are a non-profit organisation with a focus on racial equality & cultural harmony. Our website address is: http://in-society.org.

You probably noticed the forms we asked you to fill in if you became a member (Heyyyy!), attended our events or joined our course which we do collect information. It is completely your right to know how your information is being collected and used- please see details below! 

Why does IN.Society collect data? 

We use data to make your interactions with us better and provide the best solutions for our community. We align our efforts towards education, resources, advocacy and support services with the needs and demand of our community, also known as you. This includes: 

• Producing useful educational content  
• Recommending things we think you’ll like such as events, campaigns to support, educational content and opportunities. 
• Create campaigns which suit your needs 

• Generic reporting to external people who are a part of our projects like funders, organisation members and partners 
• Communicating with you about any policy changes or issues with a service 

What data are you collecting about me? 

The data we collect about you is regarding the following: 

• Name 
• Location such as city, region and postcode 
• Gender  
• Date of birth 
• Preferences and interests 

• Contact information such as email address, phone number  
• Data through cookies such as IP address, web browser type, version and operating system 
• As part of the membership, we may also hold further data such as the duration of the membership, IN.Society services you participated in 
• During events, we may collect photos and videos, given your consent per event. You are of course completely in your right to let us know if you change your mind if you no longer want us to use photos/ video content with you in it! 
• Visitors to the website may also be checked through an automated spam service

How do I change what you collect about me? 

Just simply get in touch! Email us at info@in-society.org  with the subject “Request Amendment to Data Collected” to view, amend or delete the data collected about you. We will need to verify it’s really you, we can action any ‘delete my data’ request within 30 working days. 

When do we delete data? 

We delete our data after two years. 

How is data processed? 

We store your data on Microsoft OneDrive and Google Drive and video/photo material backed-up on an external drive. Both Microsoft OneDrive and Google Drive are both rated highly for data security protection and that is why we use them! Only IN.Society staff are able to access data stored on both Microsoft OneDrive and Google Drive. In the unlikely event of a data breach, we will contact you. 

We also use external software such as Mailchimp and Eventbrite which your data is stored. Whilst the data is stored with them, we supervise it.

Do you share my data externally? 

We are big on being transparent with your data. For the usual IN.Society work, your data is used to improve your experience with us, from our events to polls to projects! When we collaborate with others on projects and other initiatives, we may share your information, (and not for marketing purposes), of which we will inform you. You are completely in our right to deny permission for your information to be shared, just simply get in touch! 

As a non-profit organisation, we have an asset-lock meaning if we ever had to close the organisation, we will be transferring the organisation’s assets to another operating non-profit organisation instead. In the event of this, we may transfer your data but we will always inform you of this in advance.  

As for third-party selling, we will not sell your data or share it unlawfully, that just does not work towards our mission or our style. 
 

How will you communicate with me? 

We will contact you: 

• In relation to IN.Society activities online & offline, relevant projects or initiatives you expressed interest in 
• In response to any contact you have made with us including any recommendations, complaints or general comments 
• In relation to any events, projects, services or activities you are involved in with us 
• For marketing and updating purposes 
• To update you on any data, policy or other major changes  
• In relation to any breach to our security (hopefully never!) 

What is I am under 16? 

We would need your guardian/ parent to give permission on your behalf. To do this, please send an email to info@in-society.org
